About the Role
We are looking for a hands-on Automation & Integrations Expert to design, build, and maintain end-to-end automation systems for our clients. This role combines business process automation, workflow architecture, system integrations, and voice AI. The ideal candidate has strong practical experience with n8n, Retell, Vapi, HubSpot, and GoHighLevel (GHL) and can connect multiple business systems such as (Dialers, Notion, Air tables, baserow, App smith, Discord, Click up etc) into reliable, production-ready workflows.
You should be able to understand how a business operates, identify opportunities for automation, design the appropriate workflows, pipelines, and funnels, and implement the complete solution using native integrations, APIs, webhooks, n8n, and custom development when required.
This is a contract-based engagement, project-scoped, with clear deliverables and milestones. Strong performers may be brought on for recurring/retainer work across multiple client projects.
What You'll Do
- Analyze business processes and identify opportunities to automate, optimize, and connect systems
- Design and build end-to-end automation workflows in n8n, Gohighlevel, HubSpot, including branching logic, error handling, retries, logging, data transformation, and reusable workflows
- Build and manage integrations between HubSpot, GoHighLevel (GHL), Podio CRM, Airtable, Baserow, Notion, Calendars, Dialpad, and other third-party platforms
- Build and configure voice AI agents using Retell AI and Vapi, including call flows, prompts, tools, webhooks, post-call processing, CRM updates, lead routing, and appointment workflows
- Build and optimize HubSpot and GHL workflows, pipelines, funnels, automations, and integrations based on business requirements
- Design reliable data synchronization and two-way integrations between different systems while maintaining data consistency
- Develop custom automation solutions using Python or JavaScript, including custom scripts, API services, or lightweight backend services when native integrations or n8n alone are insufficient
- Own the full lifecycle of automation projects: requirements → process design → architecture → build → testing → deployment → documentation
- Debug and optimize existing automations for reliability, performance, scalability, and API usage
- Document workflows, integrations, dependencies, and troubleshooting procedures
- Communicate with the Wortholic team and, when required, clients to understand requirements, explain solutions, and resolve blockers
Must-Have Skills
- Strong hands-on n8n experience — complex multi-step workflows, branching, loops, sub-workflows, webhooks, API integrations, error handling, and custom code
- Strong practical experience with Retell AI and Vapi for building and integrating voice agents
- Strong experience with GoHighLevel (GHL) including workflows, pipelines, funnels, automations, CRM configuration, and integrations
- Strong experience with HubSpot including workflows, pipelines, automation, CRM processes, and API integrations
- Working knowledge of Podio CRM, including its integrations, workflows, and automation capabilities
- Strong understanding of REST APIs, webhooks, JSON, authentication, OAuth, API keys, and data synchronization
- Ability to understand business requirements and translate them into complete automation architectures and workflows
- Comfortable writing Python and/or JavaScript for custom automation logic and integrations
- Ability to independently read API documentation, troubleshoot integrations, and build solutions without heavy supervision
Nice-to-Have
- Experience integrating Airtable, Baserow, Notion, Google Calendar, Google Workspace, Dialpad, and other business/communication platforms
- Experience with Twilio or other telephony infrastructure
- Experience building custom backend services or APIs to support automation workflows
- Prior experience working in an agency or client-services environment with multiple projects and clients
- Familiarity with databases such as PostgreSQL/MySQL and structured data transformation
- Experience optimizing existing automation systems for reliability, scalability, and cost
What We're NOT Looking For
- Pure prompt engineers without strong automation and integration experience
- Voice-AI-only specialists who cannot build the broader CRM, workflow, and business automation around voice agents
- Candidates who only know basic no-code workflows and cannot work with APIs, webhooks, custom code, or data synchronization
- Someone who needs constant supervision to understand business processes, API documentation, or troubleshoot integrations
Engagement Details
- Type: Contract, per-project (scope and rate discussed per engagement)
- Availability: Ability to commit dedicated hours during active project phases; responsive communication expected
- Evaluation: Paid test task or review of previous automation projects, n8n workflows, integrations, or portfolio before final selection
